The short answer

Gather every confirmation into one place, sorted by date rather than by type: flights, stays, car hire, tickets and tables together, day by day. For each one keep the booking reference, the time as printed, and the ticket or PDF itself, saved so it opens offline. The simplest ways are an email folder plus a phone folder of PDFs, or an itinerary app that holds the bookings and tickets together and shares them with whoever's coming.

Why bookings end up everywhere

A single holiday can involve an airline app, two hotel emails, a car hire voucher, theme park tickets in another app, a restaurant booking in a text, and a train ticket screenshot. Each sits in the place it arrived. The problem shows up on the day: standing at a desk, scrolling through email for a reference number with no signal.

Organising them isn't about tidiness. It's about being able to answer three questions instantly: what's next, where is the ticket, and what's the reference?

Option 1: an email folder and a phone folder

The free, no-app method. It works well for a simple trip.

  1. Make a folder or label for the trip

    Search your inbox for "booking", "confirmation", "reservation" and "e-ticket", and move every result into it.

  2. Save the tickets as files

    Download each PDF, boarding pass and QR code into one folder on your phone, and name them with the date first: "2027-04-10 Flight to Osaka".

  3. Add the passes to your phone's wallet

    Boarding passes and many event tickets can go into Apple Wallet or Google Wallet, where they open offline.

  4. Write a one-page summary

The weakness is that it's four places, not one, and nobody else can see it unless you send it all again.

Option 2: a shared document or spreadsheet

A shared document holds the summary in one place and others can see it. It's good for planning, but on a phone a spreadsheet is hard to read, the tickets still live elsewhere, and it only opens offline if everyone remembered to make it available offline.

Option 3: an itinerary app

An itinerary app keeps the bookings, their times and their tickets together, sorted into days. The good ones open offline and show the same plan to everyone on the trip. Things to look for:

  • It sorts by day, not by booking type, so you see the trip the way you'll live it.
  • It holds the ticket, not just the details, and opens it with no signal.
  • It keeps local times exactly as printed, without converting them to your home time zone.
  • It shares with the people coming, on iPhone and Android, without a public link.
  • Adding a booking is quick: from a screenshot, a PDF or a few fields.

Passports and insurance belong somewhere else

Travel documents (passports, visas, insurance policies) aren't bookings, and they're far more sensitive. Keep them out of shared folders and email.
